Aakam.ai is a trading name of Lex Sentinel Ltd (company number 17069457), registered in England & Wales, and is the data controller for personal data processed through the platform. These policies explain how we collect, use and protect your data, and the terms on which you use the service.
Privacy policy
1. Who we are
Aakam.ai is a trading name of Lex Sentinel Ltd, a company registered in England & Wales (company number 17069457) with its registered office at 13 Lyndhurst Way, London SE15 5AG. Our correspondence address is 24–28 Bloomsbury Way, London WC1A 2SN. Lex Sentinel Ltd is the data controller for personal data processed through Aakam.ai and is registered with the Information Commissioner's Office (registration reference ZC179981). You can reach our privacy team at privacy@aakam.ai.
2. The personal data we collect
Candidates: your name and contact details; profile information you provide (headline, sector, years of experience, specialisms, location, salary expectations, LinkedIn URL, bio); your CV and any documents you upload; your answers to and scores from skills assessments; and, where you consent, the audio/video recording, transcript and AI competency scores from a first-round AI interview.
Employers and recruiters: your name, work email and firm details; job postings you create; hiring activity; and billing details, which are collected and processed by our payment provider (Stripe) — we do not store full card numbers.
Everyone: limited technical data (such as IP address and device/browser information) collected by our hosting and content-delivery providers for security and to operate the service, and the content of messages you send through the platform.
3. Our lawful bases for processing
- Performance of a contract — to provide the recruitment service you sign up for.
- Legitimate interests — to match candidates to roles, keep the platform secure, prevent fraud and abuse, and improve our service (balanced against your rights and freedoms).
- Consent — specifically for recording, transcribing and AI-scoring an AI video interview. You may decline, and you may withdraw consent at any time (this does not affect the lawfulness of processing before withdrawal).
- Legal obligation — to keep tax and accounting records relating to placements.
4. How we use your data
- To build your profile and match you to relevant roles across our sectors.
- To run skills assessments and, where consented, AI-assisted first-round interviews.
- To let a specialist recruiter review, verify and represent candidates to employers.
- To communicate with you (application updates, interview invitations, service notices).
- To invoice employers for successful placements and to meet our legal obligations.
- To secure the platform, detect abuse, and improve our matching and product.
5. Automated decision-making and AI (UK GDPR Articles 22A–22D)
The table below lists every AI processing operation we run on candidate data, what it does, and our lawful basis for it. All AI model calls run through our AI gateway (Lovable / Google Gemini — see section 6).

How decisions are made: where a role has a configured automation rule, a FAVOURABLE result (an assessment score or interview result that meets the role's threshold) progresses your application automatically, and we notify you whenever that happens. No candidate is ever rejected by automated means — adverse decisions are always made by a human. Scoring uses only your answers and the words you say; camera-based affect, emotion or engagement signals are explicitly excluded. For every decision, automated or human, you have the right to information about it, to make representations, to obtain human intervention, and to contest it: use the 'Request human review' button on your applications and assessments in your dashboard (each request is tracked and answered personally by a member of our team), or contact privacy@aakam.ai.
6. Who we share your data with
We do not sell your personal data. Two kinds of sharing happen. (1) Service providers (processors) process data on our behalf under contract — see the table below. (2) Employers you apply to receive your profile and, once you are shortlisted, your assessment and interview results; from that point the employer is an independent controller of the data it receives and you can also exercise your rights against them directly.

7. International transfers
Some of our providers are located outside the UK and EEA (for example, in the United States). Where personal data is transferred internationally, we rely on appropriate safeguards — such as the UK International Data Transfer Agreement (IDTA) / Addendum, EU Standard Contractual Clauses, or a UK adequacy decision — to protect it.
8. How long we keep it
- AI interview recordings and transcripts: automatically deleted 90 days after the interview (including the copies held by our interview provider). Interview scores and the human decision are kept as the record of the decision.
- Assessment answers and AI marking: deleted 6 months after an application closes (rejected or withdrawn). The outcome itself remains on the application record.
- Transactional email content: message bodies are scrubbed after 12 months.
- Profile and open-application data: kept while your account is active.
- On an erasure request: your open applications are withdrawn immediately and your account and associated data — including uploaded documents, interview data held by our providers, and emails we sent you — are permanently erased within 30 days (subject to legal retention below).
- Placement and billing records: retained for 6 years to meet UK tax and accounting law.
9. Your rights
Under UK GDPR you have the right to access, rectify, erase, restrict or object to the processing of your personal data; to data portability; to withdraw consent; and not to be subject to a decision based solely on automated processing. You can download your data or request erasure from your account Settings, or by emailing privacy@aakam.ai. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
10. Security
We protect your data with row-level access controls, encryption in transit, least-privilege access for staff, and audited administrative actions. No system is perfectly secure, but we work to protect your information and to notify you and the ICO of any breach as required by law.
11. Changes and contact
We may update this policy from time to time; material changes will be notified in-app or by email. For any privacy question or to exercise your rights, contact privacy@aakam.ai.
Terms of service
1. The service
Aakam.ai provides an AI-assisted, recruiter-overseen recruitment marketplace. Aakam is free for candidates. Employers are charged a placement fee of 20% of the placed candidate's first-year base salary, invoiced on placement, with a three-month replacement guarantee. There are no retainers and no hidden fees. Full commercial terms are set out in the order form / agreement provided to employers at contracting.
2. Your account and acceptable use
- You agree to provide accurate information and to keep your login credentials secure.
- Candidates must submit their own genuine information; employers must post bona fide roles.
- Shortlists and candidate data may be used only for legitimate hiring — not resold, scraped, or used to build a competing database.
- You must not misuse the platform, attempt to circumvent security, or upload unlawful, infringing or malicious content.
3. Intellectual property
The platform, its software and branding are owned by Lex Sentinel Ltd. You retain ownership of the content you submit and grant us the licence needed to operate the service (for example, to show your profile to employers you apply to).
4. AI outputs
AI-generated assessments, scores and recommendations may contain inaccuracies. Where a role has a configured automation rule, a favourable result can progress a candidate automatically; no candidate is ever rejected by automated means — adverse decisions are always made by a human, and candidates can request human review of any outcome. Employers remain responsible for their own hiring decisions and for compliance with employment law (including equality and non-discrimination).
5. Liability
Nothing in these terms excludes liability that cannot be excluded by law. Subject to that, we provide the service on an ‘as is’ basis and, to the extent permitted by law, exclude implied warranties and limit our liability for indirect or consequential loss.
6. Termination
You may close your account at any time. We may suspend or terminate access for breach of these terms or misuse of the platform.
7. Governing law
These terms are governed by the laws of England & Wales, and the courts of England & Wales have exclusive jurisdiction.
